TRAKS Records Management System

The Trimagic Records and Knowledge Management System (TRAKS) not only includes the most commonly sought after features such as disposal scheduling and document tracking, it is also easily customisable. This is because TRAKS is built upon Inmagic’s Text Works / Web Publisher Pro platform, which is renowned for its flexibility and ease of use.

 

This means that, although TRAKS is delivered out of the box and ready-to-use, it will never be out of date as it can easily developed in line with your unique and ever-changing requirements.

 

TRAKS can be supplied as a Windows desktop application with a single-user or multi-user licence, but our flagship TRAKS Enterprise application is a fully-featured browser-based records management system which takes full advantage of the browser environment.

 

Key TRAKS Enterprise features include:

  • compliance with State Records’ requirements with integration of GDA7, GDA12 and GA28
  • file titles created automatically using, for example, Keyword AAA keywords and descriptors
  • ‘file uploader’ to upload JPGs, TIFs, PDFs, DOCs or any other electronic file type to a server and link them to any TRAKS record (also includes an option for OCR for full text retrieval on upload)
  • Barloan Plus document tracking to ensure that the records manager always has a full picture of which records are currently checked out, or who has had them in the past
  • Profiler  to search any TRAKS database with any number of scheduled, pre-defined queries that will send email alerts to the records officer (action required!) or other staff who have checked-out documents (please return!)
  • being a browser-based application, TRAKS can be accessed from any browser, anywhere in the world, with no additional PC-based licensing costs
  • inbuilt security making it possible to maintain confidentiality of records, or fields within records
  • powerful reporting of review, disposal and retention dates to make managing documents simple.
